Request for Proposals (RFP) - 2024 Holly Springs Chamber of Commerce Directory

Introduction:

The Holly Springs Chamber of Commerce, a 501-c (6) nonprofit, is seeking proposals from qualified vendors to produce the 2024 edition of our Chamber Directory. This publication serves as a comprehensive resource for our members, businesses, residents, and visitors, highlighting the vibrant community and economic opportunities within Holly Springs.

Scope of Work:

The Chamber Directory for 2024 will be a 52-page full-color publication featuring valuable information about local businesses, community resources, and Chamber initiatives. The publication will have stapled inseams for durability and easy reference.

The selected vendor will be responsible for the following:

1. Design and Layout: Create an engaging and visually appealing layout for the Chamber Directory, ensuring readability and effective communication of information.

2. Printing and Production: Print high-quality copies of the directory, utilizing full-color printing and durable materials.

3. Ad Sales Billing: Manage the billing process for advertisements sold in the directory, including invoicing advertisers and tracking payments.

4. Sales Assistance: Provide support and guidance to the Chamber in selling advertisements for the directory. While the Chamber will handle the majority of ad sales, the vendor may assist with outreach and closing sales as needed.
Proposal Requirements:

Interested vendors are requested to submit proposals that include the following information:

1. Company Overview: Provide an overview of your company, including experience in producing similar publications and serving a Chamber of Commerce, Visitors Bureau, or like clients.

2. Proposed Approach: Outline your approach to designing, printing, and distributing the Chamber Directory for 2024. Include details on your design capabilities, printing processes, and quality control measures.

3. Pricing: Submit a detailed pricing proposal, including costs for design, printing, ad sales billing services, and any other relevant expenses. Please specify any additional fees or charges.

4. References: Provide references from previous clients who can attest to the quality of your work and level of customer service.

Timeline:

The timeline for the project is as follows:

- Proposal Submission Deadline: May 24th, 2024 5 PM

- Vendor Selection: May 30th, 2024

- Sales: June 1- September 5th

- Design and Layout: September 15th, 2024

- Distribution: October 24th, 2024

We love to see our local businesses partnering to make Holly Springs such an incredible place to live and do business!
